Quick answer

Good pool follow-up is fast, personal and useful. Send a personalized text and email within seconds, call within minutes, then follow up over several weeks with messages that answer real questions, cost, financing, timeline, HOA, instead of 'just checking in'. Below are scripts you can adapt for your company.

The rules of good follow-up

Before the scripts, the principles that make them work:

  • Use the homeowner's name and the project they asked about.
  • Every message should give something: an answer, an example, an easy next step.
  • Mix channels: text for quick replies, email for photos and detail, calls for booking.
  • Keep going: most homeowners need several touches over weeks, not one call.
  • Always make it easy to say 'not now', and respect it.

Script 1: The instant text

'Hi {First name}, it's {Your name} with {Company}. Thanks for asking about a pool in {City}! I'll give you a quick call in a few minutes, or reply here with a better time.'

Short, personal and clear. No links, no sales pitch.

Script 2: The first call

'Hi {First name}, this is {Your name} from {Company}, you asked about a pool for your home in {City}. Do you have two minutes? … Great. Tell me a little about what you're picturing.'

Let them talk first. Then confirm the qualifying details naturally: ownership, timeline, budget range, access and who will be at the consultation. Close with a specific time: 'I have Thursday at 5 or Saturday at 10, which works better?'

Script 3: The no-answer voicemail and text

Voicemail: 'Hi {First name}, {Your name} from {Company} about your pool project. I'll send you a text so you can reply whenever it's easy. Talk soon.'

Text right after: 'Just tried calling about your pool in {City}. Would a quick call later today or tomorrow morning work better?'

Script 4: Day 2–3 email with real work

Subject: 'A {City} pool we just finished'

'Hi {First name}, I thought you'd like to see a project we recently completed nearby. [Photo] The homeowners wanted {feature}, and we finished in {timeframe}. If you'd like to see what's possible in your backyard, I'm happy to set up a free consultation, just reply with a good time.'

Script 5: Answering the price question

'Great question. Every pool is custom, but most of our projects in {City} land between {range}, depending on size, finishes and features like a spa or sun shelf. In the consultation we'll give you a real number for your yard. Many of our clients also use financing, happy to explain options.'

Script 6: The re-engagement message

For leads that went quiet weeks or months ago: 'Hi {First name}, it's {Your name} from {Company}. We're starting to plan the {season} build schedule, are you still thinking about a pool this year? No pressure either way, just let me know.'

Simple, honest and easy to answer. You'll be surprised how many people reply.

A simple 14-day sequence

Put the scripts together into a sequence like this, stopping as soon as the homeowner books or opts out:

  1. Day 0: instant text + email, call within minutes, voicemail + text if no answer.
  2. Day 1: second call at a different time of day.
  3. Day 2–3: email with a finished project nearby.
  4. Day 5: text with one helpful answer (cost, timeline or financing).
  5. Day 7: call + text offering two consultation times.
  6. Day 10: email with your process from design to swim.
  7. Day 14: friendly 'should I keep your request open?' text, then move to long-term nurture.

Frequently asked questions

How many times should I follow up with a pool lead?

More than most builders do. Plan on several calls, texts and emails over at least two weeks, then move non-responders to a long-term nurture sequence instead of deleting them.

Is texting pool leads allowed?

Texting leads who requested information is common, but you should follow the consent and opt-out rules that apply to your business and include a clear way to stop messages. When in doubt, check with a professional about current regulations.

Should the owner or a salesperson make the first call?

Whoever can call fastest, consistently. Many builders use a dedicated team or appointment setter to make the first call and book the consultation, so the owner or designer can focus on the meeting itself.
